How to Become a Vendor

Upper Canada Village is excited to host its 11th annual MEDIEVAL FESTIVAL on June 9, 10 and 11, 2018. In fair-weather years, the event has seen as many as 10,000 visitors over the three-days it runs (with Education Day on the Monday of the festival seeing over 5,000 students/teachers on that day alone). Visitors come to the festival to immerse themselves in a festive, outdoor Medieval setting, complete with re-enactor and warrior encampments, livestock, entertainment stages, jousting arena and a Medieval Marketplace area.

Medieval craft and food vendors make up the Marketplace at the festival. As a vendor, it is important that your booth presents a cohesive medieval theme suited to the setting: a) in the presentation of your merchandise and food offerings; b) in your tent/booth decor; and c) in your booth staff’s attire. Craft vendors are also encouraged to demonstrate your craft when possible, particularly on the Education Day of the festival. Ten by ten spaces (or multiples of) are available for vendors for $200, with electricity, tables and chairs as add-on options. More details can be found in the links below.


HOW TO BECOME A VENDOR
 

To become a vendor at Upper Canada Village’s Medieval Festival, you must be prepared to be on site and open for the full duration of the festival schedule, regardless of weather.

Please use the links below to complete and submit your application form. We recommend you read the Vendor Code of Conduct first (as it pertains to vendor’s attendance and manner, sale of eligible crafts and/or food products, appropriate booth dressing and staff costuming, site access times and more).

TIMELINE
 
May 1, 2018 DEADLINE TO SUBMIT APPLICATIONS:
All vendors must complete a Vendor Application Form to request a booth by May 1, 2018.

Late applicants may or may not be accepted, based on approval and inventory of spaces still open after May 1.
May 18, 2018 ACCEPTANCE & NOTIFICATION:
Vendors will be notified of their acceptance once their completed application form is submitted and approved. Approval will be sent to the vendor in the form of a Letter of Agreement to be signed and returned to Upper Canada Village.

PAYMENT:
Your booth payment will be processed according to the method you indicate on your application form, once you have been approved. (Fees and details are on the application form).
June 8, 2018 ARRIVAL & SETUP:
Vendors can setup on Friday June 8, 2018, anytime between 2:00 & 7:00 pm (as light permits). Alternate arrangements may be possible if these will not work for you. Please note that no one will be able to set up (and all vehicles must be offsite) a half hour prior to opening of the Festival to the public each morning at 9:30 a.m. No vehicles or trailers are allowed to stay on site. (NO EXCEPTIONS).

ACCOMMODATIONS

Out-of-town vendors must arrange their own accommodations. Vendors may camp Friday, Saturday and/or Sunday night(s) in a designated modern encampment area (grassy field adjacent to the festival grounds) available at no charge. Vendors may NOT camp on the festival grounds; this includes in your own booth area.
